Requesting help to amend policy manual

All - I am looking for help writing up a privacy provision for the policy manual. If it's not too late, I'd like to see this adopted at the December meeting. This has come to the forefront lately with a number of state affiliates questioning privacy within the shared email system. While I have assured them that no one is really bored enough to read all of their email, I do think it would be wise to implement a common-sense policy to put affiliates at ease. That said, I'm also very busy right now and I don't have a lot of time to write such a policy, or figure out where in the policy it would go. It may need to be its own section, under "shared services" or it might be incorporated into personnel, or maybe something else. I'm not sure. I do have some criteria that should be incorporated: * The policy should apply to staff, contractors, and volunteers. * Access to private materials should require the signing of a Non-Disclosure Agreement, with enforceable ramifications for violation. * Granting access should be in written form, by either the user themselves or by the state chair (or other authority?) * Access requests should be logged, and a record of those requests made available to the user and/or the state party. Please take three minutes to read this excellent column. In my opinion, for this to be accomplished, the voting system will need to be changed from the Single Member Plurality rules now in effect. It's not ballot access, or campaign finance rules, or anything else that relegates the LP and other minor parties to their second class status in the United States. It's the voting system, and I hope the LP will do more to change those laws that really bind us. Bill Redpath

Libertarians doing great things in Florida

The amount of great things happening with Libertarians is too long to list here. Just this afternoon the Vice Chair from Florida dropped by after having attended the OAI event yesterday. I was also very pleased to see former national chair, and one of our newest elected Libertarians, Jim T. attend the OAI event and visit the office. One of our newest staff members has been doing a fantastic job--Jess from Florida. I could sit here all day and write about 50 different exciting things happening in Florida, but obviously I don't want to take the time to do that right now. Spending lots of time focusing on a few bad things just gives oxygen to the bad elements. It's better not to even mention them. I'm also sometimes concerned that attacking some people teetering between libertarianism and other ideologies, may have the effect of alienating them and pushing them further away from embracing that which is good, and rejecting that which is bad. I was once a pro-war, pro-surveillance, pro-police state, anti-immigration, bad guy. Early in my transition to becoming a libertarian, had I interacted with more mean nitpicking purist libertarian activists (not all purists are mean nitpickers by the way), or had I interacted with more mean nitpicking moderate libertarian activists (not all moderates are mean nitpickers by the way) I might have backed away from the Libertarian Party and re-embraced the Republican Party along with all of its bad policies--I'm often a team player. Let's be nice to each other. When one of our activists falls short, let's not rush to pile on. Let our first instinct be to rally around them and support them. Let our second instinct be to rally around them and support them again. Let our third instinct be to rally around them and support them again. And let our fourth instinct be to ignore them. There was once a guy seeking the Libertarian nomination for a high office in Texas. He would have been incredibly embarrassing and damaging to our brand if he had gotten a lot of publicity. I never publicized the person. Almost nobody ever found out about him. I treated his application for nomination equally to others--it was accepted as was supposed to be and processed. He didn't show up to the convention. He didn't get nominated. His name never reached the news or the email groups. I did not go on a bunch of email groups and start writing about how this guy was going to embarrass us if others found out about him. I shall not say his name here either. November Money Bomb/Givealance

Dear Colleagues and list watchers, I didn’t know this email was coming but it seems we have a Money Bomb going for $100,000 to help fund this new specialist and the other new hires and projects we are working on. I did know that we would be having a fundraiser at the House Party on December 8th in NOLA and I intend to give more there. In the meantime, I dug deep, and I made a $100 donation to help get this Givealance a shove. I encourage all my fellow board members to match my donation or beat it if you are able. Do what you can. Last time I looked it was already at $1893. To anybody reading this email on the list, $5, $10,$1000. It all adds up. Imagine how much easier our job will be in December setting the budget if we get this done before the end of November. I know that wasn’t the plan but that’s my goal. corrected date for sustaining membership deadline for delegate allocations

THANK YOU for your help with this. -Alicia ---------------------------------------------------------------------------------------------------------- Dear LP Affiliate State Chairs, Earlier this year I sent to the affiliate chairs the *partial* 2018 national convention delegate allocations based on the 2016 Presidential vote totals. In that message, I wrote regarding the other piece of the delegate allocation formula, “The count of your sustaining members will be updated as of 11/30/17, and then I will provide you with your full delegate allocations.” I made a mistake in that date. The date is established by LP Bylaws Article 10.4.a: “'In order to be counted for delegate allocation, sustaining membership applications must be sent to the National Headquarters by either the individual member or the affiliate party and received or postmarked no later than the last day of the seventh month prior to the Regular Convention.” Since the first business session of the 2018 convention will be on July 1, 2018, the “last day of the seventh month prior” deadline would be December 31, 2017, rather than November 30, 2017. You actually have one month longer than I previously indicated. I know some affiliates run membership drives based on this deadline, so I apologize if my previous misstatement of the date threw off any of your plans. Hopefully you checked the bylaws and calculated the correct date for your membership drives. Attached is the October 2017 membership report published by our staff. Page 2 shows the sustaining membership numbers in each state affiliate. The numbers you should pay attention to are the “BSM” figures, which is an acronym for Bylaws Sustaining Membership. Not only do these numbers impact delegate allocations at the 2018 convention, but they will also impact which states make appointments to the 2020 Platform Committee, per LP Bylaws Article 11.3. Ten Platform Committee appointments are based solely on the affiliate rankings of sustaining members, and five more are based on sustaining-membership-per-capita rankings. Attached are the population figures from the 2010 census, which are the figures I use to calculate the per-capita rankings. Those positions are already set for the 2018 convention, but they can change for the 2020 convention. Again, I apologize for sending the wrong date earlier, but you have an extra month to impact your national sustaining membership numbers. Email cutovers

All - It's been a bit delayed, but I'm preparing the email cutover for LP National. There are some changes which need to happen to make this work for the long-term. The cutover will happen in 2 steps: First, mailing lists will be hosted only on hq.lp.org. This will separate mailing lists from the lp.org email domain. Second, we need to use mailboxes instead of forwarders for LP.org email addresses. Why are we ending the use of forwarders? Because we have to. We're having problems on the existing system with various email providers ending up in spam. It's hard to explain this without a whiteboard, but simply put - email forwarding is becoming obsolete and will continue to fade out as spam prevention measures are adopted by various ISPs. This is not something in our control. I have attached a screenshot (which hopefully will make it through the list) to show you an example of the problem as it exists today. So hq.lp.org will be for email lists, and lp.org will be for email mailboxes. During the period between the transition, there may be some interruption of the ability to send email through lists. After both phases of the cutover, the lists will require sending from your LP.org address. This will avoid having us placed on spam blacklists (which also effects our email blast reach). I will plan these cutovers to occur as closely together as possible to avoid any extended service issues. This will also have the effect of ending all previous email forwarders being used - so former LNC members will no longer have @lp.org email addresses. The shared email system now hosts 9 state affiliates (7 of which are active) and it is functioning as expected. I have written detailed instructions for management of the system in the long term, so that the email server can be managed by any staff member. There are some rules on usage to avoid being put on spam blacklists, and those rules are included in the administration guide. For those interested, I can separately email the end user guide. I am still in need of updating the guide regarding the configuration of various mail clients, but it is otherwise configured. There's still a good bit of pre-work to do prior to cutover, but I wanted to put this out there so that everyone is aware and we can fully discuss this change in procedure. This will be a major effort on my part, and I want to make sure everyone is comfortable with it before we embark on it. As a reminder, this cutover will save the party about $500 per month, and the current server used for email is ancient (in IT terms) and not being supported by our vendor anymore. Please feel free to contact me directly with any questions. I don't want to provide too many details on an open list, as it may create security problems.
